Chapters can move prospective new members through the recruitment cycle with the Recruitment application. Access this tool through the Chapter Officer & Advisor launcher.

Tracking Prospective New Members

Through the Recruitment application, officers can track prospective new members through the entire recruitment and bid process. The recruitment board view allows you to drag and drop prospective new members based on where they are in the process.

  • New: All new Prospective New Members can be added here. Any referral made from outside the chapter, or a potential new member requesting more information, will automatically be added to this tracking column by submitting the Referral Form.
  • Qualified: Begin to refine prospective new members by adding them to the qualified list, meaning these prospective new members meet qualifications set forth by the chapter as high-priority prospects.
  • Membership Offered: Move members to this column if a bid has been extended and accepted. New members must be added to this column before reporting them to the General Fraternity.
  • Deferred: Use this column to remove potential new members from the chapter’s recruitment process.

Once a prospective new member is added to the tracker, drag and drop them to new columns as they move through the recruitment process. You can also click the phone or email icon with their name to quickly connect with them via text or email. Use the search bar at the top of the tracker to quickly find a specific prospective new member.


Add Prospective New Members (Method #1)

At the top of each column of the recruitment tracking board, click the Add Prospective New Member icon to create a new contact. This method is best for creating a limited number of contact records at a time; see Method #2 to mass-upload prospective new members into the tracker.

  1. Select their “Lead Status” to add them to any of the columns in the tracker.
  2. Provide their first name, last name and whether or not they were a Men of Principle Scholarship applicant. While email address and phone number are not required to create a contact record for the prospective new member, these fields will be required to report them to the General Fraternity, so it is recommended to add this information if it’s available.
  3. Click the save/create button to save the new contact.

Add Prospective New Members (Method #2)

At the top right of the recruitment tracking board, click the Add Prospective New Member button to open the bulk importer screen. This method is best for uploading multiple new records at once; see Method #1 to create one recruitment lead at a time.

  1. Select the “Lead Status” to add them to any of the columns in the tracker via the drop down above the table.
  2. Copy and paste prospective new member information into the list from Microsoft Excel or Google Sheets, or you can type them into the list manually. First name, last name and whether or not they were a Men of Principle Scholarship applicant is required for each prospective new member being added to the tracker. While email address and phone number are not required to create a contact record for the prospective new member, these fields will be required to report them to the General Fraternity, so it is recommended to add this information if it’s available.
  3. Click the Import Prospective New Members button to save every contact in the list.

Add Prospective New Members (Method #3)

Prospective new members can also be reported through the Men of Principle Scholarship manager if they applied for the scholarship. In the Scholarship Applications tab, click the “Add to Recruitment Pipeline” button in the far right column of an applicant to add him to the Recruitment tracker.


Report New Members

Chapters are required to report new members to the General Fraternity at the earliest of the Induction Ceremony, their first new member class meeting or upon moving into chapter housing. Once you’re ready to report new members:

  1. New member must first move into the “Membership Offered” column of the recruitment tracker.
  2. Select the “Report” button at the top of the column.
  3. You will then see if you have any errors based on missing contact information (i.e. email or phone number). The correct contact information must first be added before moving onto the next step.
  4. Once completed, you will be able to select “Next” and choose the induction date for your new members.
  5. Finalize and confirm by selecting “Report as New Members.” These new members will be added to your chapter roster in the next 24 hours. You will also see an invoice generated on your chapter statement.
