Appointing a New Chapter Officer
Appoint a new chapter officer if the chapter does not currently have a member in that role and a new role is being created. See the Replacing a Current Chapter Officer section below to instead change out an advisor one-for-one. To appoint a new officer:
- Select the Add Role button at the top of the screen.
- Search for the member being appointed by searching for their name or email address in the contact field.
- Select the role they are being appointed to.
- Select a begin date for the role. You do not need to have an end date, as that can be selected at a later time. If you know the end date, go ahead and insert it.
The best practice is to have an overlap between new and old officers so that each position is always filled. Only current chapter officers and advisors are able to appoint new chapter officers.
Appointing a New Chapter Advisor
Appoint a new chapter advisor if the advisory team does not currently have a member in that role and a new role is being created. See the Replacing a Current Chapter Advisor section below to instead change out an advisor one-for-one. To appoint a new advisor:
- Select the Add Role button at the top of the screen.
- Search for the member being appointed by searching for their name or email address in the contact field. If the volunteer you are looking to appoint is a member of another chapter or a Friend of Beta, first contact your chapter’s Fraternity Services staff member.
- Select the role they are being appointed to.
- Select a begin date for the role. You do not need to have an end date, as that can be selected at a later time. If you know the end date, go ahead and insert it.
The best practice is to have an overlap between new and old advisors so that each position is always filled and to improve onboarding. Only current advisors are able to appoint new chapter advisors.
Editing Term Dates
If the term start date of an officer or volunteer is not correct, or if an end date was not originally noted when appointing an officer and you would like to add that after the fact, edit term dates by:
- Find the person currently in the role and click the three dots on the far right. Select “Edit Term Dates.”
- Adjust the start and end dates of the officer’s or advisor’s term, as needed. Adding an end date, if it wasn’t when they officer or advisor was added to the role, will automatically remove them from the officer roster once the term has concluded.
To immediately end their term, instead select “End Role Assignment” in the three-dot menu and confirm the role has ended for the chapter officer or chapter advisor.
Replacing a Current Chapter Officer
Replace a current chapter advisor to do a one-for-one swap of a chapter officer. See the Add a New Chapter Officer section above if the position is not currently filled by an officer. To replace a current officer and add a new one:
- Find the person currently in the role and click the three dots on the far right. Select “Replace Role Assignment.”
- Confirm the role has ended for the chapter officer.
- On the next screen, search for the new member being appointed by searching for their name or email address in the contact field.
- Select the role they are being appointed to.
